Automatic, Remote Download of Digital Tachograph Data to Safeguard Compliance and Cut Costs

Many operators are now starting to look at automatic, remote download of digital tachograph data as a faster, lower cost and better way of safeguarding compliance.  Savings of around ten man hours per week are easily achievable even with a modest fleet size.

Automatic, remote download eliminates the burden of collecting tachograph data. Downloads can be scheduled to suit your requirements and automated to guarantee compliance.  Once set up there is no need to manage and control processes or rely on drivers. Your company Cards can stay in the office rather than being moved from vehicle to vehicle. Digital tachograph data can be transferred in the background from the vehicles over Wi-Fi at the operator’s depots or via GPRS from any location in Europe and passed to Smartanalysis.

Turners (Soham) Ltd are early adopters of the technology with Exentra and already realising the benefits.

Exentra have launched two remote download products starting at £299 for use with Smartanalysis, see Remote Download Devices.

Turners (Soham) Ltd cut the cost of compliance with remote download of digital tachograph data

In 1930, brothers Wallace and Frank Turner bought their first vehicle and began delivering loads from their father's farm in Soham, Cambridgeshire. Eighty years on and Turners has grown to be one of the largest haulage companies in the UK operating over 1000 vehicles and 1400 trailers from 32 locations.

The company's enviable reputation for providing professional and innovative supply chain solutions is based on extensive technical and logistics experience in operating a fleet that travels throughout the UK and Europe.

Turners have been working with Exentra since 2007 using Smartanalysis to safeguard compliance with EU regulations and WTD.

Managing and controlling the process for downloading driver and vehicle data from the digital tachograph is time consuming and a real headache when drivers, vehicles and depots are spread around the country.  Turners were looking for a way to remove the burden of downloading digital tachograph data at least every 21 days and reduce the man hours spent doing it. The number of out based vehicles and vehicles equipped with a digital tachograph is increasing within the Turners fleet so the time was right to look at automatic, remote download of digital tachograph data.

Turners currently have remote download devices fitted to 20 vehicles enabling them to download data every seven days. The installation and implementation all went smoothly and the tachograph data is downloaded in the background for analysis and reporting using Smartanalysis from Exentra.  Driver cards are downloaded automatically removing the need to manage the whole process.  Even on this modest implementation Turners are saving around ten man hours per week in downloading data. As the number of vehicles fitted with remote download devices increases Turners fully expect to realise greater savings.

"We decided to use automatic remote download of digital tachograph data to safeguard our compliance and reduce the man hours spent managing the process and downloading data from the vehicle. Using remote download is saving us around ten man hours per week. The tachograph data is downloaded in the background for analysis and reporting using Smartanalysis from Exentra. We have worked with Exentra since 2007, they provide a good service and have delivered a cost effective solution for analysing our tachograph data."

John Burbridge, Group Quality and Compliance Manager, Turners (Soham) Ltd

smartanalysis® Digital First to Provide Full Analysis of Digital Tachograph Data

New digital tachograph analysis solution delivering results to fleet operators of all sizes.

CHIPPENHAM, WILTSHIRE, 31 MARCH 2006 - Exentra Transport Solutions, the UK’s leading developer of tachograph analysis solutions, has announced that smartanalysis is digital-ready in preparation for the introduction of new legislation in May 2006. This fully managed solution provides a seamless transition to the introduction of digital tachographs for transport operators of every size. In use with large fleet operators with trucks equipped with digital tachographs since February 2006, the smartanalysis digital solution automates the data analysis process and offers quick, easy and cost effective compliance with all legislation.

"It is estimated that only 20-25% of all operators currently undertake detailed analysis of tachograph charts, comments Chris Lewis, a director of Exentra Transport Solutions. "The days of paying scant attention to complying with regulations is coming to an end as the advent of digital makes enforcement by VOSA and the police much easier and faster. Smartanalysis Digital is a cost effective solution that will smooth the transition to digital as well as handling traditional paper charts without requiring any additional investments in IT hardware or software."

Smartanalysis is an Internet-based hosted solution that can be used on a pay-as-you-go basis to give transport operators faster and easier access to data. It is the only online analysis solution to give clients the ability to drill down through data to get specific information as required and provides secure and reliable storage and back-up of all tachograph data. Should specific reports need to be produced on a regular basis, they can be automatically prepared and emailed to clients in a variety of commonly used formats. Smartanalysis is scalable to meet the requirements of the largest operators and provides centralised access to company-wide data.

Instead of using paper tachograph charts, drivers of vehicles equipped with digital tachographs will use a smartcard, which stores data on journeys completed over the previous month. Drivers use a smartcard reader situated in the depot to automatically upload the data to the smartanalysis server. Managers use a separate download key to transfer data from the Vehicle Unit.

To comply with legislation, all data is stored for twelve months on the smartanalysis servers, which are located at one of Europe’s largest co-location companies. As well as being fully password protected to prevent unauthorised access, all data is digitally signed to prevent any tampering with company information.

For operators operating mixed digital and analogue fleets, Exentra, in conjunction with its key tachograph analysis bureau partners, has also developed Smartscan, an innovative scanning solution that presents a timesaving alternative to sending paper charts in the post. Scanners can be located in depots enabling drivers to feed in their own charts and the data is automatically sent to the bureau for analysis.
